RentEvent helps customers, vendors, and planners coordinate event services more confidently with clear expectations, safer communication, and marketplace reporting tools.

1. Safety Is Shared

RentEvent provides marketplace and planning tools, but every user is responsible for making safe choices, asking questions, reviewing details, following laws, and using reasonable judgment.

Customers, vendors, and planners should confirm event details, requirements, venue rules, timing, access, insurance needs, setup limitations, payment expectations, and cancellation terms before an event.

Customers Review vendors carefully, ask questions, confirm expectations, and make sure the service is appropriate for your event.
Vendors Keep listings accurate, follow laws, maintain required licenses or insurance, and communicate clearly about safety limits.
Planners Coordinate details responsibly and verify vendor requirements, client needs, venues, and event logistics.
RentEvent Provides tools, reporting options, account controls, and marketplace review processes, but does not perform every vendor service.

2. Vendor Responsibility

Vendors are independent businesses or professionals. Vendors are responsible for their own services, staff, equipment, supplies, vehicles, insurance, permits, certifications, licenses, safety protocols, and compliance with applicable laws.

  • Use accurate business names, service descriptions, photos, and pricing.
  • Do not misrepresent availability, experience, insurance, certifications, or licenses.
  • Bring proper equipment, staffing, and supplies for the service you agreed to provide.
  • Follow venue rules, local laws, fire codes, alcohol rules, food safety rules, pool safety rules, and transportation requirements where applicable.
  • Communicate limitations clearly before accepting a booking.

3. Professional Transportation Only

RentEvent transportation categories are for professional event logistics providers, not random individual rideshare-style drivers. Transportation vendors should be appropriate businesses or providers for event transportation needs.

  • Licensed and insured shuttle companies.
  • Party bus companies.
  • Limo or chauffeur companies.
  • Valet and parking companies.
  • Venue or event transportation providers.
  • Professional wedding, corporate, festival, or guest transportation providers.

Transportation vendors should comply with applicable licensing, insurance, vehicle, driver, safety, and local legal requirements. Customers and planners should confirm details before booking.

4. Staffing, Security, and Safety-Sensitive Services

Some event services carry higher safety responsibilities. These may include lifeguards, security, off-duty police officers, valet or parking teams, bartenders, servers, setup crews, cleanup crews, drivers, shuttle providers, and other event support personnel.

  • Confirm training, certifications, licensing, insurance, and staffing levels where appropriate.
  • Confirm who is responsible for crowd control, guest access, alcohol service, water safety, parking flow, and emergency procedures.
  • Use qualified providers for pools, alcohol service, transportation, security, and large events.
  • Do not rely only on a listing description when a service involves safety-sensitive duties.

5. Booking Requests and Protected Messaging

Use RentEvent messages and booking request tools to keep important event details documented in one place. This helps customers, vendors, planners, and RentEvent review event details, booking questions, payment history, and support issues when needed.

  • Confirm date, time, venue, service address, parking, load-in/load-out details, and setup requirements.
  • Ask about travel fees, deposits, cancellation rules, overtime charges, weather plans, and venue restrictions.
  • Keep communication professional, respectful, and related to the event or booking.
  • Do not share phone numbers, email addresses, social media handles, outside links, or requests to move the conversation off RentEvent through RentEvent messages.
  • Do not send sensitive personal information unless it is necessary for the booking.
  • Report concerning, threatening, fraudulent, or inappropriate messages.

6. Payments and Off-Platform Risk

When RentEvent payment tools are available, booking-related payments, deposits, balances, and payment questions should stay inside RentEvent unless RentEvent clearly provides another approved option.

Requests to pay by Venmo, Cash App, Zelle, PayPal, wire transfer, direct invoice, or another outside payment method may reduce RentEvent’s ability to help with booking records, disputes, fraud concerns, cancellations, or support issues.

Be cautious with unusual payment requests, pressure tactics, requests to avoid documented communication, or requests that feel unsafe or suspicious. Keep records of agreements, invoices, deposits, receipts, and vendor terms.

7. Keeping Bookings On-Platform

RentEvent is designed to keep event planning organized and safer by keeping vendor communication, booking requests, payment records, and support history connected to the same marketplace account.

  • Do not use RentEvent to collect leads and then move the booking off-platform.
  • Do not pressure another user to communicate, pay, or complete a booking outside RentEvent.
  • Do not try to bypass message protections by spelling out phone numbers, emails, handles, or payment details in unusual ways.
  • Use RentEvent reporting tools if someone asks you to go off-platform or makes you uncomfortable.

8. Prohibited or Unsafe Activity

Users may not use RentEvent to post, request, coordinate, or promote unlawful, unsafe, misleading, abusive, discriminatory, or fraudulent activity.

  • No fake listings, fake businesses, fake reviews, or impersonation.
  • No harassment, threats, hate speech, stalking, intimidation, or abusive conduct.
  • No knowingly unsafe event services or reckless instructions.
  • No illegal substances, stolen goods, counterfeit goods, unlawful weapons, or prohibited services.
  • No misleading transportation listings or random gig-driver style ride offers.
  • No attempts to bypass platform messaging, payment, safety tools, reports, verification, or account restrictions.
Report unsafe conduct

If you see a suspicious listing, unsafe vendor, scam attempt, harassment, or policy violation, report it through RentEvent so it can be reviewed.

9. Verifying Vendors

RentEvent may offer vendor verification tools, but verification does not guarantee that a vendor is perfect, available, insured for every scenario, legally compliant in every location, or suitable for your event.

Customers and planners should ask vendors for proof of insurance, licenses, permits, certifications, references, contracts, or other documentation when relevant.

10. Venue and Local Rules

Event venues may have rules about setup, insurance, vendors, alcohol, food, parking, music, noise, tents, fire, candles, pool use, security, cleanup, and vendor access. Users are responsible for confirming and following venue rules.

Vendors should notify customers or planners if their service requires special access, power, water, permits, clear space, staffing, weather protection, parking, or venue approval.

11. AI Planning Safety

RentEvent may provide AI planning suggestions, checklists, timelines, budgets, and vendor recommendations. AI tools are for planning support only.

Always verify vendor qualifications, event safety requirements, local laws, insurance needs, venue rules, pricing, and availability before relying on AI-generated suggestions.

12. Reporting a Concern

Report concerns if you experience or notice unsafe conduct, fraud, suspicious messages, misleading listings, harassment, policy violations, no-shows, or other marketplace issues.

RentEvent may review reports, contact users, request documentation, hide listings, restrict accounts, preserve records, or take other action when appropriate.
